Position Summary:

We are seeking a highly organized and proactive Office Manager to oversee the administrative and operational functions of Signature Tree Solutions. As the Office Manager, you will be the central point of contact for internal teams and external partners. Your exceptional leadership and communication skills will be crucial in maintaining smooth day-to-day operations and fostering a positive work environment.

Candidate must have the experience and drive to team-build, lead and work between various departments to ensure organization and effective communication throughout the company.

Duties to include:

  • Provide administrative support to various teams and senior management. This may include but is not limited to handling correspondence, errands, mail, and scheduling meetings.

  • Maintain a well-organized and tidy office environment, ensuring that office supplies are stocked, equipment is functioning correctly, and any necessary repairs or maintenance are addressed promptly.

  • Support accounting and senior management as liaise with vendors and suppliers.

  • Facilitate effective communication within the organization, both internally and externally. Answer phones, respond to emails, and relay important messages to the appropriate parties.

  • Oversee office facilities and ensure they meet safety and security standards. Address any issues related to office infrastructure promptly. Support production team with clerical tasks needed for other company facilities.

  • Maintain records and documentation, including virtual files.

    Trainings and Filing: Support production team for needed training materials. Maintain virtual filing of training records.

  • Address any operational challenges that may arise and find effective solutions to improve office efficiency.

  • Organize and manage data, both physical and digital, ensuring confidentiality and security of sensitive information.

  • Stay updated with office technology and software, ensuring that employees have access to necessary tools and training.

  • Participate in fostering a positive and inclusive office culture, promoting teamwork and collaboration among employees.

    Minimum requirements:

  • 1-2 years experience in managing an office

  • Excellent organizational and time management skills.

  • Proficiency in office software such as Microsoft Office and other relevant tools.

  • Ability to multitask, handle pressure, and adapt to changing priorities.

  • Attention to detail and a high level of professionalism.

  • A bachelor's degree in business administration, management, or a related field is often preferred, but not always required.
